This issue occurs when trying to setup mail with Microsoft Outlook with a third party POP/IMAP account.
This issue is very common due to the lack of information to set up the account correctly.
Make sure to check the following details when setting up the account:
- Email Address:
- Make sure that the email you entered is correct. Is is very easy to insert a comma rather than a full stop or making a ".com" where it should be ".co.za"
- Incoming mail server:
- The incoming mail server will always be mail.<domain>. For eg. if my email was simon@mailer.com, my incoming server will be mail.mailer.com
- Outgoing mail server (SMTP):
- The incoming mail server will always be mail.<domain> or smtp.<domain>. For eg. if my email was simon@mailer.com, my incoming server will be mail.mailer.com or smtp.mailer.com
- User Name:
- Do not mistake the "User Name" with "Your Name". The "User Name" should always be your email address.
- Password:
- Always verify your password with your Hosting Admins.
- After you entered all of the above information, click on "More Settings ..."
- In the "Internet Email Settings" window, open the "Outgoing Server" tab.
- In this tab, be sure to tick the "My outgoing server (SMTP) requires authentication" box.
- Underneath that, make sure that the "Use same settings as my incoming mail server" is selected.
- Click "OK" to close that window.
After you entered all the above info and verified that it's correct and clicked "Next" and still receive a issue logging in, the port settings on you setup might be incorrect.
How to change the port settings:
- After you entered all of the above information, click on "More Settings ..."
- In the "Internet Email Settings" window, open the "Advanced" tab.
- In this tab, in the "Server Port Numbers" section, the following should be entered:
- For SMTP
- Unsecure SMTP: 25 or 587
- Secure SMTP: 465
- For POP3
- Unsecure POP3: 110
- Secure POP3: 995
- For IMAP
- Unsecure IMAP: 143
- Secure IMAP: 993
- For SMTP
- When you change the default ports on your setup, be sure to change the "Use the following type of encrypted connection:" to "Auto"
- Click "OK" to close that window.
